Admin
Background[edit | edit source]
Admin is a Power BI app designed to show key information for the K'aute Pasifika reception team. It provides an overview of the following data:
- Phone call volumes
- Call duration / average duration
- Category of calls, both inbound/outbound
- Overview of calls by time of day
- Representation of raw data for reference/audit.
The app was published in October 2023, at which time a modification of the data entry/capture process was also implemented.

The app is published directly to the Admin team lead and GM only.
Technical information[edit | edit source]
Reception call data is manually captured in Excel. This data has been separated into yearly files and stored/accessed in SharePoint.
As noted above, being able to rely on the manually entered data in Excel required a review of the setup/organisation of the file and how data is entered.
The app connects directly to the Excel file online using 'Web' access in Power BI, and currently uses named user OAuth credentials. This should be updated to a service account when feasible.
Power BI is scheduled to refresh three times per day so that current information is always available for reporting and monitoring.
Note: When configuring the connection, use the "Copy file path" option in Excel to ensure the correct link is provided.
